The Program Coordinator within the Business Operations Products (BOP P) division at STEMCELL is responsible for coordinating activities, processes, programs, and projects that support overall divisional objectives.  As a member of the BOP P Operations Team, the incumbent supports the Director of BOP P in contributing towards the operational efficacy of the growing division as this position provides the opportunity to be challenged with a variety of responsibilities in a fast paced environment.

Education & Qualifications: 

Undergraduate degree desirable, preferably in the life sciences, with 2 years of experience in an administrative role.

  • Highly professional and adaptable with proven judgment and discretion with confidential matters.
  • Ability to work with precision and accuracy; demonstrates attention to detail and has excellent record keeping skills.
  • Strong organizational and planning skills in an environment with fluctuating volumes and demands.
  • Excellent oral and written communication skills.
  • Proficient working knowledge of Microsoft Office and/or Google Productivity tools. Familiarity with database software is an asset.
  • Project coordination/management and/or event planning experience are significant assets.  
  • Basic web programming experience preferred.
Duties & Responsibilities: 
  • Provide administrative support for projects and programs related to divisional objectives and goals, including tracking, reporting, and following up on timelines and deliverables.
  • Organize divisional meetings, planning sessions, social activities, and other events.
  • Manage complex calendars, and schedule meetings with participants in multiple time zones and locations.
  • Prepare and distribute meeting materials in a timely manner including recording meeting minutes, updating organizational charts and project plans.
  • Manage the BOP P operating schedule and keep it updated.
  • Develop, streamline, and maintain efficient administrative processes.
  • Liaise with the corporate administrative team as required, ensure consistency in processes and incorporate best practices.
  • Manage and track the BOP P meeting/conference requests, approvals, registration, and conference reports.
  • Assist with recruitment activities to support the Recruitment Team.
  • Coordinate the corporate training program activities for the division by tracking nominations, course dates, and completion.
  • Assist with the execution of website product launches and campaigns.
  • Perform other duties as required
