The Leasing Coordinator is responsible for organizing and maintaining STEMCELL’s comprehensive lease portfolio, related documentation and reporting on key performance indicators, leasing trends and operating costs. This role functions as a key contact for information gathering and distribution to/from STEMCELL and various external parties (landlords, property management personnel and sub-tenants) by acting as a communication bridge. The Leasing Coordinator is an integral member of the Facilities Team and reports to the Vice-President of Facilities. This position is based at our W7th location.

Education & Qualifications: 
  • BBA, BComm or education in real estate and property management is preferred. MBA is an asset.
  • Minimum of 3 to 5 years of contract and/or lease administration experience.
  • Ability to communicate professionally – verbal and written.
  • Ability to review lease agreements and contracts.
  • Proficient at Excel and Powerpoint to create data graphics for presentations and reports.
  • Proven ability to work independently and/or with a team.
  • Attention to detail and accuracy while juggling priorities and deadlines.
  • Strong organizational and follow through skills; ability to prioritize tasks and projects.
  • Ability to maintain confidentiality.
Duties & Responsibilities: 
  • Act as a primary contact for landlords and sub-tenants in ensuring compliance with lease agreements
  • Create timelines of key dates for leasing activities, ensuring that real estate projects are forecasted appropriately.
  • Prepare cost reports associated with individual leases and conduct annual reconciliation activities with landlords and sub-tenants.
  • Create, distribute and maintain leasing reports, including but not limited to: operating costs, transaction services, key performance indicators etc.
  • Create and maintain a quarterly real estate and lease review report detailing the key lease and operating parameters of the company’s global facilities
  • Tracks expenses related to small renovation projects and provides cost accounting support to the projects.
  • Prepares tenant allowance reimbursements requests and statutes of declaration forms at the end of construction.
  • Execute transaction forms and letters, including but not limited to: exercise letters, extension letters, waivers, employee occupancy, etc.
  • Organize and coordinate the execution of documents; ensure the correct distribution and archival of documentation.
  • Prepare cost sharing agreements.
  • Perform other duties as required.
