Job Description Summary

The primary responsibilities of the Executive Assistant, Research and Development (R&D) position at STEMCELL are handling detailed and complex scheduling and meeting planning, project management, preparation of executive presentations, coordination of departmental projects, travel arrangements, expense reports and other correspondence. This position reports to the Vice President of R&D.

Education & Qualifications: 
  • Undergraduate degree desirable, preferably in the life sciences, with 2 years of experience in an administrative role.
  • Experience working with project management methodology and Business Intelligence  analytics is an asset
  • Advanced knowledge of MS Office, including Word, Excel, and PowerPoint.
  • Proficient working knowledge of Gmail, Google Drive and Google Docs
  • Highly professional and adaptable with proven judgment and discretion with confidential matters.
  • Ability to work with precision and accuracy; demonstrates attention-to-detail and has excellent record keeping skills.
  • Strong organizational and planning skills in an environment with fluctuating volumes and demands.
  • Project or event planning experience is a significant asset.
  • Excellent oral and written communication skills.
  • Excellent computer skills are a distinct asset.

 

Duties & Responsibilities: 

Executive Support:

  • Manage complex and challenging calendars, including scheduling meetings with participants in multiple time zones.
  • Take accurate minutes at group meetings and distribute them in a timely manner.
  • Ensure travel and accommodation arrangements are made and expense accounts are prepared and submitted for the VP R&D in an accurate and timely manner.
  • Maintain and track progress toward an ongoing list of deliverables for assigned projects.
  • Synthesize information provided from multiple sources and produce high quality executive summaries and/or presentations.
  • Coordinate and complete assigned projects from the VP R&D or R&D Exec team.
  • Work collaboratively and proactively with other R&D administration support staff to execute cross team projects and R&D activities.
  • Review incoming email correspondence and materials directed to the VP R&D and bring significant items to their attention.
  • Draft correspondence on behalf of the VP R&D for their review and approval; this requires a broad knowledge of corporate and department operations and personnel.
  • Manage invoices and maintain real time budget versus actual reporting for assigned budgets.
  • Direct inquiries related to R&D matters to the appropriate R&D team member(s).
  • Develop and maintain administrative processes, which reduce redundancy and improve accuracy, while achieving organizational objectives.
  • Organize departmental meetings, quarterly planning, and social activities and events.
  • Filing and record keeping.
  • Perform other duties as assigned.

Strategic Marketing Support:

  • Provide administration, coordination and project support to the Associate Directors of Strategic Marketing as needed: i) maintain the Strategic Marketing initiative/project database/roadmap (e.g. monitor timelines/milestones, reporting to stakeholders, identifying roadblocks); ii) provide project coordination/management support of process development/improvement initiatives/projects; and iii) schedule and organize weekly group meetings (e.g. maintain agendas, invites, minutes, etc).
