Job Description Summary

The Executive Assistant, Human Resources position at STEMCELL Technologies goes above and beyond the typical EA scope. You will become your executive’s right hand, and the heart of the Human Resources’ team’s operation. The primary responsibilities are handling detailed and complex scheduling and meeting planning, project management, preparation of executive presentations, international travel arrangements, expense reports, tracking the human resources budget and other correspondence.

Education & Qualifications: 
  • Undergraduate degree desirable, with 2 years of experience in an administrative role.
  • Detail oriented
  • Advanced knowledge of MS Office, including Word, Excel, and PowerPoint.
  • Highly professional and adaptable with proven judgment and discretion.
  • Demonstrated initiative and organizational skills, with keen attention to detail.
  • Project or event planning experience is a significant asset.
  • Excellent oral and written communication skills.
  • Excellent computer skills are a distinct asset.

Duties & Responsibilities: 
  • Manage complex and challenging calendars, including scheduling meetings with participants in multiple time zones
  • Takes minutes at group meetings and distributes them in a timely manner
  • Ensuring travel and accommodation arrangements are made and expense accounts are prepared and submitted for the VP, Human Resources in an accurate and timely manner.
  • Maintains & tracks progress toward an ongoing list of projects and deliverables for the global HR team
  • Synthesizes information provided from multiple sources and produces high quality executive presentations for VP HR
  • Reviews incoming email correspondence and materials directed to the VP, Human Resources and brings significant items to her attention.
  • Drafts correspondence on behalf of VP, Human Resources for her review and approval; this requires a broad knowledge of corporate and department operations.
  • Manages invoices and maintains real time budget versus actual reporting for Human Resources budget
  • Directs inquiries related to human resources matters to the appropriate HR team member
  • Develops and maintain administrative processes, which reduce redundancy and improve accuracy, while achieving organizational objectives.
  • Sends congratulatory flowers to staff celebrating weddings, births and other significant events
  • Organizes departmental meetings, quarterly planning, and social activities and events.
  • Filing and record keeping.
  • Other duties as assigned.
