Qualifications:
- At a minimum, completion of a recognized post-secondary program in secretarial arts or equivalent
- At least two years of relevant experience in office administration
- Strong collaboration and team skills
- Handles confidential information with discretion
- Comfort (and preferably, experience) working in a research environment
- Proficiency in the use of Microsoft Office (Word, Excel, PowerPoint)
- Experience in the use of cloud-based collaboration and calendar applications is an asset
Duties & Responsibilities:
Responsibilities include but are not limited to:
- Ordering, shipping, tracking, and receiving of correspondence, equipment, materials, and supplies
- Liaising with management, shippers, and/or vendors as needed for resolving any delivery issues
- Collating, scanning, filing, and forwarding time sheets, packing slips, and other documents for further processing
- Coordinating travel arrangements and catering
- Managing calendars for team and management meetings
- Maintaining a list of important training and compliance dates for the facilities
- Acting as the librarian for company policy documents (paper / company databases)
- General office administration
